Use Chaser with Sage 200

If you use Sage 200 this article will explain how to connect Sage 200 to Chaser, explain how the integration works and provide answers to some frequently asked questions of current Chaser customers who use Sage 200.

Supported versions

Chaser currently supports two versions of Sage 200:

  1. Sage 200 Standard (Cloud)
  2. Sage 200 Professional

Sage 200 Professional users must activate the API and connect Sage 200 to your Microsoft 365 account using Microsoft Entra (formerly Azure Active Directory).

Connect Chaser to Sage 200

  1. After verifying your email and logging into your Chaser account you will be asked to connect your accounting system. Click Sage 200 and then click Connect with Sage 200.

  2. Log in to Sage
    1. The account must have access to the Sage API
    2. If you are already logged in, you will bypass this step
  3. Confirm your Sage version (Professional or Standard)
  4. Select the organisation that you want to connect
    1. You can select more organisations later if required
  5. Chaser is not connected to Sage 200. You can choose your Chaser account settings to tailor your accounts receivable process to best suit your business needs. This includes the business name, country, timezone and currency.
    1. Enable the setting Include unpaid and unallocated transactions from Sales Order Processing if you create invoices or credit notes in the Sales Order Processing section of Sage 200 and want them to appear in Chaser. General ledger information is always included by default. 

    2. This setting will only be visible if you currently post transactions automatically from Sales Order Processing to your Sale Ledger. 
    3. To change this setting after you have completed your initial set up, please contact support@chaserhq.com.

Sync Chaser with Sage 200

Chaser syncs with Sage 200 once every day and before payment reminder emails are sent out. This ensures that all information is up to date before Chaser emails are sent out.

You can also sync Chaser with Sage 200 at any time in the Chaser app by clicking the Sync now button in the top right of your screen, should you require data to be synced immediately.

If your update hasn’t appeared in Chaser, it may be because an automatic sync hasn’t happened yet. You can manually sync by clicking the ‘Sync now’ button in Chaser. This will immediately pull the latest data. If this does not resolve the error, see the Troubleshooting section at the bottom of this article.

What information does Chaser pull from Sage200?

Organisation Details

Through the Sage 200 integration, Chaser retrieves organisation-level information. Chaser pulls the following details directly from your Sage 200 account:

  • Organisation name
  • Billing currency
  • Timezone
  • Invoice process settings
  • List of organisations related to the user via the API

Company and Contact Information

Chaser collects details about companies and contacts associated with your Sage 200 account:

  • Companies and customers
  • Individual contact persons and addresses linked to parent companies

Sales Ledger Documents

Chaser pulls transaction details from the sales ledger to ensure accurate account management. The following types of documents are retrieved:

  • Invoices
  • Credit Notes
  • Payments (Receipts)
  • Refunds (Customer payments)

    Note: Refunds are not currently applied to balances. This functionality is planned for a future release.

Sales Order Processing (SOP / Invoicing Tab) (Optional)

Chaser offers the option to retrieve additional data from the Sales Order Processing (SOP) invoicing panel, provided this data is not automatically posted to your sales ledger. This includes:

  • Unpaid invoices
  • Unallocated credit notes

Sales Order Processing transactions and due dates

Sales Order Processing transactions are typically instant cash book transactions, unlike invoices raised through the Sales Ledger, and therefore do not have due dates available via the Sage 200 API. Chaser will calculate a due date based on the payment terms assigned to the customer. For example, if a customer has 30-day payment terms, the due date will be set as the invoice posted date plus 30 days.

Troubleshooting

Why is there an error when I sync my data?

If you experience issues with a manual sync, it could be that a sync is already occurring. Try again in a few minutes. If the error persists, it often indicates a problem with the connection between Sage 200 and Chaser. To resolve this, go to the user icon in the top-right corner, select Organisation SettingsIntegrations, then disconnect and reconnect Chaser to Sage 200.

If issues persist, confirm that the Sage 200 account that was used to link to Chaser still exists and that no permissions have changed on the account (for example staff changes or permission changes within your business).

Why did Chaser disconnect from Sage 200?

When Chaser connects with your Sage 200 account, Chaser is provided with a unique API token that allows access to the information in your Sage 200 account. All API tokens have an expiration date and when they expire, Chaser no longer has access to your Xero account and Chaser will pause chasing activity on your Chaser account.

In these situations, Chaser will notify you that you need to reconnect your Chaser account. To do this, when you log in to Chaser, click the Reconnect to Sage 200 button at the bottom right of your screen. 

You will then need to log in to Sage 200 and allow access again, this will provide Chaser with a new API token and your chasing activity will resume.
